WhatsApp Business Setup
What we need from you

Your account is created in your name — you own it, you pay Meta directly, and you can leave any time. Keep these 7 things ready and setup takes about 30 minutes.

MessageBhejo is a Meta-approved Tech Provider for the WhatsApp Business Platform.

Before we begin

Your WhatsApp Business account will be created in your name, not ours. You own it. You pay Meta directly for messages. You can leave us any time and take your number with you.

We only need a few things from you. Keep them ready and setup takes about 30 minutes.

The 7 things to keep ready

A Facebook account

The account of the owner of the business — not a staff member's account. Please turn on two-step login (2FA) on it.

Why: this account becomes the key to your WhatsApp Business. If a staff member leaves with it, you have a problem.

A phone number

You have two options. Pick the one that suits you.

Option A — A fresh number (simplest)

Use a new number that has no WhatsApp on it at all.

  • With country code — for example, +91 98765 43210
  • It must be able to receive an SMS or a phone call
  • Keep the phone with you during setup — a code will come to it
  • If the number already has WhatsApp or WhatsApp Business on it, delete that account first (WhatsApp → Settings → Account → Delete my account), wait 10 minutes, then start

Choose this if: you want a separate business number, or you don't mind telling customers a new number.

Option B — Keep your existing WhatsApp Business number (Coexistence)

You can keep using WhatsApp Business on your phone and use our platform at the same time, on the same number. Nothing moves. Nothing is lost.

What you keep:

  • Your number stays the same — customers notice no change
  • All your old chats and contacts stay on your phone, exactly as they are
  • You can still reply from your phone, make voice and video calls, and use your catalogue
  • Messages sent from your phone stay free. Only messages sent from our platform are charged by Meta

Please note: your old chats stay on your phone only — they will not appear in our dashboard. The dashboard shows conversations from the day you connect onwards. Nothing is lost; it just stays where it already is.

What you need before starting:

  • The number must be on the WhatsApp Business app — not normal WhatsApp. If you use normal WhatsApp, switch to the WhatsApp Business app first
  • The number must have been actively used on the WhatsApp Business app for at least 7 days — real chats with real customers. Meta checks this. If the app was just installed, wait. One to two months of normal use is much safer
  • Update the app to the latest version
  • A smartphone with a working camera — you will scan a QR code during setup
  • The phone must be with you during setup

Very important — do not do this:

  • Do not delete and re-register the number to "start fresh". Meta treats it as a new number and your 7-day clock resets, delaying you by weeks
  • Do not uninstall the WhatsApp Business app at any point

What changes after connecting — please read:

  • Group chats will not appear in our dashboard
  • Disappearing messages, view-once messages and live location get switched off in your 1-to-1 chats
  • You will no longer be able to edit or delete a sent message
  • Any linked devices (WhatsApp Web, tablet) get disconnected — you can link them again afterwards. WhatsApp for Windows and smartwatch apps are not supported
  • Sending from our platform is slower than a fresh API number, so very large broadcasts take longer

After connecting — one small habit: open the WhatsApp Business app on that phone at least once every two weeks. If the phone stays switched off or the app is not opened for too long, the connection can drop and we have to set it up again.

Choose this if: you already run your business on WhatsApp Business and don't want to lose your chats or change your number.

Your business name and details

  • Full registered name (exactly as printed on your GST or registration paper)
  • Business address with pincode
  • Business email — Gmail works fine, but an email on your own domain (like info@yourbusiness.com) looks stronger during review
  • What your business does, in one line
  • Your business type (shop, restaurant, school, clinic, etc.)

A working website

  • The link must open properly
  • Your business name should appear on the site

If you don't have a website: tell us. We will guide you — Meta asks for one, and an empty or broken link causes rejection.

Documents

Meta accepts any one of these for an Indian business:

Note: Meta's list still uses the old name "Udyog Aadhar". Your Udyam Registration certificate is the same thing and is accepted.

Which business type should you choose?

Meta will ask you to pick your business type. Pick the one that matches your papers — not the one that sounds biggest.

Most small businesses in India are Sole Proprietorship. Please do not choose "Private Company" or "Corporation" just because it sounds better — choose it only if you actually have a company registration certificate. Wrong business type is one of the most common reasons for rejection.

How to upload the document correctly:

  • Clear and in colour — a scan or a straight, well-lit photo
  • The full page visible — nothing cut off, nothing covered by a finger
  • Not expired, not edited in any way
  • PDF, JPG, JPEG or PNG
  • Bank statement or utility bill should be from the last 12 months

Most important: the business name on the document must match exactly with the name you enter for Meta. Even a small difference — "Sharma Traders" vs "Sharma Traders Pvt Ltd" — causes rejection.

If your paper shows the owner's name but you trade under a brand name — for example, GST says "Ramesh Kumar" and your shop is "Krishna Water Supply" — enter the name from the paper in the main field, and put your brand name in the optional "alternative business name" field.

The name customers will see

This is the name that appears in your customer's WhatsApp.

Good names

  • Sharma Dairy Farm
  • Krishna Water Supply
  • Aggarwal Sweets

Names that get rejected

  • SHARMA DAIRY FARM (all capitals)
  • sharma dairy farm (all small)
  • sharma-dairy-farm (dashes or symbols)
  • Best Water Supply (a general phrase, not a real business name)
  • Anything with emojis or ™

Simplest rule: use your registered business name, written normally.

A credit or debit card

Meta charges you directly for messages. Your card goes to Meta, never to us.

Without a card, your messages will not be delivered.

Your safety

What we will NEVER ask you for

Please be careful of anyone who does ask. We will never need:

Your Facebook password
Your OTP or verification code
Your card number or CVV
Your WhatsApp two-step PIN

You type all of these yourself, directly into Meta's own screen. We never see them.

Mistakes that cause delays

Half-filled business information. This is the biggest reason accounts get blocked after setup. Fill every single field.

Using a number that already has normal WhatsApp on it. Delete that WhatsApp account first and wait 10 minutes, or use a new number. (If it's on the WhatsApp Business app, don't delete anything — tell us, and we'll use the coexistence option instead.)

Different names on different papers. GST says one thing, bank statement says another — rejected.

A staff member's Facebook account. Meta rejects accounts without owner rights.

Closing the popup window early. Let it close by itself.

After you are live

Customers can message you and you can reply freely for 24 hours — no approval needed.

To message a customer first, you need an approved template. We will help you make them.

Watch your quality rating in the dashboard. Green is good. If it turns yellow or red, reduce your marketing messages for a day or two.

Never send messages to people who have not agreed to receive them. This is what gets numbers blocked.
